ScanMate is built on a simple promise: a label should help return a lost item without exposing the person who owns it. This policy explains what information we collect, why, and the choices you have. It is written to be read — not to be hidden behind jargon.
1. Who we are
ScanMate (“ScanMate”, “we”, “us”) provides QR-based smart labels and the online service that connects a found item with its owner. In this policy, “personal information” means information that identifies you or could reasonably be linked to you.
2. What we collect
- Account & owner details. When you create an account or register a label, we store the name and email you provide so we can deliver messages about your items.
- Item details. Information you add about an item (its name, description, and any custom fields). You choose what is shown publicly and what stays private.
- Finder messages. When someone scans a label and contacts you, we store their message and any contact detail they choose to share, so we can pass it to you.
- Scan & technical data.When a label is scanned we record limited technical data (such as time of scan and a hashed identifier used for abuse prevention). We do not publish a finder's exact location.
- Requests & enquiries. Details you submit when requesting samples or a quote.
3. What we deliberately do not put on a label
A ScanMate label never displays a child's name, your phone number, or your address. A finder reaches you through a secure form; your contact details are not shown to them unless you choose to respond.
4. How we use information
- To deliver the core service — connecting found items with their owners.
- To notify you of scans and messages relating to your items.
- To respond to your sample requests, quotes, and support enquiries.
- To protect the service from spam, abuse, and fraud.
We do not sell your personal information.
5. Service providers
We use trusted providers to operate ScanMate — including hosting, database, email delivery, and bot protection. These providers process data only on our instructions and are not permitted to use it for their own purposes.
6. Data retention
We keep personal information for as long as your account is active or as needed to provide the service, and then for any period required to meet legal obligations. You can ask us to delete your account data at any time.
7. Your rights
Depending on where you live, you may have the right to access, correct, or delete your personal information, and to object to certain processing. To exercise these rights, get in touch with us.
8. Children's privacy
ScanMate is designed to protect children's privacy by keeping their details off physical items. Accounts are intended to be managed by a parent, guardian, or institution rather than by a child.
9. Changes to this policy
We may update this policy from time to time. When we do, we will revise the “last updated” date above and, where appropriate, notify you.
